This page is for a US controller, bookkeeper or operations lead at a company that runs Dynamics 365 Business Central and has been asked for a carbon number: a large customer sending a supplier emissions questionnaire, a parent company in scope for California SB 253, a lender, or a CDP request. Business Central is common at exactly the size of company that gets these requests, distributors, job shops and regional manufacturers with 20 to 500 people, and the question is always the same. Microsoft says the sustainability features are already in the product, so do you switch them on, or buy a separate tool?
The honest answer depends on three things: whether someone on your team can own the setup, whether your auditor or customer will accept the factors you enter by hand, and how close the date is.
Does Business Central have a sustainability module?
Yes. Microsoft Learn documents sustainability management in Business Central as available starting with 2024 release wave 1 (version 24). It tracks greenhouse gas emissions across Scope 1, 2 and 3, plus two extra buckets Microsoft added, "Out of scope" for items such as carbon credits and "Water/Waste" for water and waste intensity. You collect data through sustainability journals, general journals or purchase documents, enter known amounts by hand or use built-in formulas, and the module recalculates every gas to CO2e. Posted entries land in a sustainability ledger that works like the general ledger: you can analyze it by dimensions, but you cannot delete a posted entry, only reverse it.
The feature list has grown each wave. The current documentation covers emission factors per account subcategory, internal carbon fees, carbon credits, sustainability certificates, scorecards and goals against a baseline, Power BI reports, financial-report style analysis, a sustainability API, and value chain tracking for Scope 3, which Microsoft still labels a public preview.
| Area | What it does | What you supply |
|---|---|---|
| Chart of sustainability accounts | A separate account structure for emissions, water and waste, with categories and subcategories | The accounts, the scope of each category and which gases it tracks |
| Emission factors | Fields for CO2, CH4 and N2O factors on each subcategory, plus a Source field | Every factor value and its source; Microsoft ships no factor library |
| Formulas | Fuel or electricity, distance, installation and custom amount times the factor | Quantities, mileage, or a G/L cost filter for spend-based Scope 3 |
| Purchase documents | Sustainability account and emission fields on purchase lines, posted with the invoice | The sustainability account on each G/L account, item or line |
| CO2e and carbon fee | Converts CH4 and N2O to CO2e and calculates an internal carbon fee per tonne | The carbon equivalent factor for each gas, entered manually |
| Reports | Total Emissions, Emission Per Facility, Emission By Category, Power BI reports, scorecards | Formatting for any filing; version 24 states it supports no reporting to authorities |
Is the Business Central sustainability module free?
The license is. Microsoft's Business Central pricing page lists Essentials at $80 and Premium at $110 per user per month, paid yearly, and Team Members at $8, with no separate sustainability line, and Microsoft partners such as Stoneridge Software describe the module as included with existing subscriptions at no additional charge. What it costs is time. Someone has to design the chart of sustainability accounts, decide which factor applies to which category, look up each factor in an outside source, type it into the subcategory, set the carbon equivalent factors for methane and nitrous oxide by hand, and map G/L accounts, items and resources to sustainability accounts so purchase documents post emissions. Microsoft's own setup page tells you to consult a sustainability advisor before you finalize the transport formulas.
For a 50-person distributor that is usually a partner engagement or a few weeks of the controller's time, and it has to happen before the first invoice of the reporting year is posted if you want purchase documents to carry emissions. Business Central does not go back and add emissions to invoices posted before you switched the feature on; for history you use the journal and the Calculate from General Ledger option.

Does Business Central include emission factors?
No. Each sustainability account subcategory has fields named Emission Factor CO2, Emission Factor CH4 and Emission Factor N2O, a Source field for where the number came from, and Import Data and Import From fields that Microsoft describes as intended for integration with external systems that collect factors. The values are yours to find and enter. For a US company that means the EPA GHG Emission Factors Hub for fuels, EPA eGRID for purchased electricity by subregion, and an input-output set such as EPA USEEIO for spend-based Scope 3, each version noted so an assurance provider can trace it.
Spend-based Scope 3 in Business Central uses the Custom calculation foundation: emissions equal a custom amount, which can be cost pulled from the general ledger, times the factor. With Calculate from General Ledger switched on, the journal sums the absolute value of every matching G/L entry for the account filter and dimensions you set. That works when one G/L account maps cleanly to one kind of purchase. It works less well when "Supplies and Materials" holds cleaning chemicals, steel bar and a forklift repair, because one account then carries one factor for three very different things.
Native module route
- 01 Design the accounts Chart of sustainability accounts, categories by scope and gas, subcategories per factor
- 02 Type in factors CO2, CH4 and N2O factors and their source on every subcategory, CO2e factors by hand
- 03 Map and post Sustainability accounts on G/L accounts, items and purchase lines, journals for history
- 04 Ledger and reports Total Emissions, Emission Per Facility and Power BI; the filing is formatted outside
CarbonAccounting.ai route
- 01 Open in Excel Posted purchase invoice lines or vendor ledger entries for the reporting year
- 02 US factors per line EPA USEEIO spend factors and eGRID electricity, with the factor stored on each line
- 03 Review the unsure lines Every line gets a scope, one of 15 Scope 3 categories, a reason and a confidence score
- 04 Evidenced inventory Each tonne linked to its invoice line, ready for SB 253, CDP or a customer questionnaire
Business Central carbon accounting from the purchase invoice export
Every Business Central company already holds the raw material for a carbon inventory. Utility, natural gas, propane and diesel invoices carry the spend and usually the quantity for Scope 1 and 2. The rest of the purchase ledger, freight, raw materials, packaging, outside services, travel, is where Scope 3 comes from. In Business Central you can get it out without any extension: open Posted Purchase Invoices or the Vendor Ledger Entries list, filter to the reporting year, and use Open in Excel. Include the vendor name, description, G/L account, quantity, unit of measure and amount.
CarbonAccounting.ai reads that file line by line. It proposes a GHG Protocol scope and one of the 15 Scope 3 categories for every line, writes the reason and a confidence score next to it, and sends only the uncertain lines to a reviewer. The factor for each line is stored on the line, so the forklift repair and the steel bar posted to the same G/L account get different factors. Every tonne stays linked to the invoice line that produced it, which is what an assurance provider or a customer audit asks to see. This is the carbon accounting software route for teams that want the number this quarter rather than after a configuration project.
Where each option fits
Business Central sustainability module
Someone can own the account design and factor entry, your auditor accepts the factors you choose, and you want emissions posted next to purchase invoices from the start of next year. The license costs nothing extra.
Compliance
Export the posted purchase lines for the year, classify, review and send. Supplier data requests and SB 253 and CDP report packs are included, at a published $7,740 a year.
Ledger
Scope 1, 2 and spend-based Scope 3 for one company from the purchase export, with the mapping kept so next year is a re-run. $2,340 a year.
What happened to Continia Sustainability for Business Central?
Continia, one of the larger Business Central add-on vendors, announced on July 11, 2025 that it had decided "to discontinue the development and sale of Continia Sustainability," its extension to the standard module. Its stated reason was demand: the EU Omnibus package cut the number of companies under CSRD by about 80 percent, which Continia said left the directive applying mostly to companies "well beyond the typical profile of Business Central customers," and US federal policy had shifted. Continia now points customers to the standard Business Central features fed by its Document Capture and Expense Management products.
Other partner apps on Microsoft AppSource extend specific corners of the module, for example Dynaway Sustainability, which moves asset counter readings such as fuel use, mileage and energy into the sustainability journal. None of them changes the basic shape: the factors and the mapping are still yours. For US buyers the demand driver was never CSRD anyway. It is customers asking suppliers for emissions, CDP supply chain requests and, for larger groups, SB 253.
Can Business Central be used for SB 253 reporting?
It can produce the Scope 1 and 2 totals if the module is set up, but Microsoft's setup documentation states that in version 24 Business Central "doesn't support reporting to any authorities," and the reporting fields on the setup page are described as intended for future capabilities. The filing is up to you. SB 253 applies to companies with more than $1 billion in revenue doing business in California, so a Business Central company is usually affected through a parent or a large customer rather than directly. For the first report, due November 10, 2026, CARB accepts Scope 1 and 2 in several forms, names EPA eGRID as an acceptable Scope 2 factor source and does not enforce assurance. Scope 3 follows in 2027. The full picture is on SB 253 reporting software.
Questions to ask before switching on the Business Central sustainability module
- 01 Who owns the setup? The chart of sustainability accounts, categories and subcategories need one person with the authority to decide them. Budget partner hours if that person does not exist.
- 02 Which factors, from which year? Write down the source and version of every factor before you enter it. EPA updates the Emission Factors Hub and eGRID on its own schedule.
- 03 How do G/L accounts map? Mixed accounts such as supplies or repairs carry one factor per account in the module. Decide whether to split accounts, use item-level defaults or accept the estimate.
- 04 What about last year? Purchase documents only carry emissions after the feature is on. History goes through journals and Calculate from General Ledger.
- 05 Who formats the filing? The module reports totals by scope, facility and category. Confirm who turns that into the CDP response, customer template or SB 253 submission.
